Privacy notice
What we do with the data you give us here.
This notice covers the personal data Sophi collects through this website. It is written to be read, not to be survived. If anything here is unclear, email us and we will explain it.
This notice is not about athlete data.
When a football club uses Sophi, the club decides what athlete health data is collected and why. The club is the data controller for that data and Sophi acts as its processor, under a separate written agreement with that club. Athletes should ask their club's medical department about that data. This page is only about the data you give us here on the website — your email address if you subscribe, your details if you book a demo, and whatever you write if you email us.
A few company registration details are marked below as pending. They are being finalised and will be filled in as soon as the entity details are confirmed.
01Who is responsible
- The controller
- Sophi. Registered company name, registration number and registered address are pending confirmation and will be published here.
- Where we are
- Lisbon, Portugal. Sophi is established in the European Union and this notice is written under the GDPR.
- How to reach us about privacy
- info@sophisports.com. A person reads it. Use it for any request about your data, including the rights listed in section 06.
- Data protection officer
- Whether Sophi is required to appoint a DPO is being assessed. If one is appointed, their contact details will be published here.
02What we collect, and why
- Newsletter subscribers
- Your email address, and nothing else. We ask for no name, no club and no job title. We use it to send one newsletter a month. We do not use it to sell to you.
- Confirmation record
- When you subscribe we send a confirmation email, and you are only added to the list once you click the link in it. Our newsletter provider records the date, time and IP address of that confirmation. That record exists to prove your consent was real, and for no other purpose.
- Demo bookings
- The Book a Demo button opens Calendly, a separate scheduling service. Whatever you enter there — typically name, email and a meeting time — is collected by Calendly and passed to us so we can hold the meeting.
- Email enquiries
- If you email us, we hold your address and whatever you chose to write, so that we can reply and keep track of the conversation.
- What we never ask for here
- This website collects no health data, no special-category data and nothing about any athlete. Please do not send athlete health information by email — ask us for a secure route instead.
03Our legal basis
- Newsletter — your consent
- Article 6(1)(a). You tick a box and then confirm by email. You can withdraw at any time and it is as easy as giving it: every newsletter carries a one-click unsubscribe link. Withdrawing does not make the earlier sending unlawful.
- Demo bookings and enquiries — steps before a contract
- Article 6(1)(b), together with our legitimate interest in answering people who contact us about the product, Article 6(1)(f). If you ask us a question, we think you expect a reply.
04Who else touches it
- Brevo — newsletter delivery
- Brevo is a French company and processes our newsletter list. Your address is sent to Brevo only at the moment you press Subscribe. Nothing about you reaches Brevo just from reading this site.
- Where Brevo stores it
- Brevo states that it hosts customer data within the European Union. We are confirming the specific storage locations against Brevo's own sub-processor list and data processing agreement, and will state them precisely here.
- Calendly — demo scheduling
- Calendly is a United States company and is used only if you choose to book a demo. Doing so takes you to Calendly's own site, under Calendly's own privacy policy, and involves a transfer of your data to the United States.
- Google Fonts — page typography
- This site loads two typefaces from Google's font servers. Doing so discloses your IP address to Google. We are moving these fonts onto our own hosting to remove that disclosure.
- We do not sell or share data
- We do not sell personal data, we do not rent it, and we do not pass it to advertisers or data brokers. The three services above are the complete list.
05Cookies and tracking
- This site sets no cookies
- No cookies, no local storage, no tracking pixels, no session recording. We run no analytics of any kind, so we do not know who visits or how many. That is a deliberate choice and it is why you are not being asked to dismiss a cookie banner.
- If that changes
- If we ever add analytics, we will ask for your consent first and update this page before doing so.
06How long we keep it
- Newsletter
- Until you unsubscribe. After that we keep your address on a suppression list so that we do not accidentally email you again. You can ask for full erasure instead, and we will do that.
- Demo bookings and enquiries
- Kept while we are in contact and for a period afterwards for our business records. The exact period is being set and will be stated here.
07Your rights
- What you can ask for
- You can ask to see the data we hold about you, to correct it, to have it deleted, to restrict what we do with it, to receive it in a portable format, and to object to processing based on legitimate interest. Where we rely on consent, you can withdraw it at any time.
- How to ask
- Email info@sophisports.com. There is no form to fill in. We do not charge for this and we will respond within one month.
- If we get it wrong
- You can complain to the Portuguese supervisory authority, the Comissão Nacional de Proteção de Dados (CNPD), or to the authority in the EU country where you live or work. We would rather you told us first, but you do not have to.
